Privacy Policy
PeakGen Consulting LLC, doing business as RecallCrew.
Effective date: 2 November 2026
This policy explains what PeakGen Consulting LLC, doing business as RecallCrew (“RecallCrew”, “we”, “us”), collects when you use recallcrew.com, how we use it, and the choices you have.
1. Who we are
RecallCrew is a service of PeakGen Consulting LLC, a limited liability company based in Hoover, Alabama. “RecallCrew” is a trade name of PeakGen Consulting LLC. We are the controller of the information described in this policy.
- austin@recallcrew.com
- Postal address
- 500 Southland Drive, STE 235, Hoover, AL 35226
2. What this policy covers
This policy covers the recallcrew.com website, including the free revenue report, and the emails and text messages we send to people who contact us through it.
It does not cover the work we perform for a dental practice once that practice becomes a client. That work is governed by our services agreement with the practice and by a Business Associate Agreement, which we sign before we handle any patient information. If you are a patient of one of our client practices, contact that practice; we process patient information only on its instructions.
3. What we collect
Information you give us
When you complete the free revenue report, we collect:
- Approximately how many active patients your practice has
- Approximately how many have not been in for 12 months or more, or that you are not sure
- What happens when your front desk cannot pick up the phone
- Approximately how many Google reviews your practice has, or that you are not sure
- Your name, your practice name, your mobile number and your email address
- Whether you ticked the box consenting to text messages
If you email us or book a call with us, we also collect whatever you choose to include in that message or booking.
Information we collect automatically
- Server logs. Our hosting provider records standard request information, including IP address, browser type and the pages requested, for security and reliability.
- Campaign parameters. If you arrive from an advertisement or from the QR code on one of our sample postcards, the link may carry parameters such as
utm_sourceorsrc. We store these in your browser for the length of your visit and attach them to your report so we know which campaign brought you. - Anti-spam signals. The report form includes a hidden field that people do not see and a timestamp recording when the form loaded. Both exist only to filter out automated submissions.
What we never collect
We never ask for patient information on this website. The revenue report asks for counts only. Do not send us patient names, dates of birth, chart numbers, images or any other patient record through this site or by email. Nothing on recallcrew.com is intended to receive protected health information, and the figures the report produces are calculated from the counts you enter and nothing else.
We also do not run session-recording, heatmap or form-field-capture tools on any page of the revenue report.
4. How we use what we collect
- To calculate and show your revenue report, and to email you a copy
- To follow up with you about RecallCrew, by email, telephone and — only with your consent — text message
- To understand which advertisements and campaigns bring practices to us
- To operate, secure and improve the website
- To comply with our legal obligations and enforce our terms
We do not use the information you give us to make automated decisions that produce legal or similarly significant effects.
5. Text messages
The tick box on the revenue report is optional, is unticked by default, and is not a condition of purchase. You will receive the report whether or not you tick it.
If you do tick it, you agree to receive text messages from RecallCrew about your report and our services, including marketing messages, at the mobile number you provided. Messages may be sent using automated technology. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop receiving messages, or HELP for help. We record the wording you agreed to and the time you agreed to it.
Full program details are in our Terms.
6. We do not sell your information
We do not sell your personal information, and we do not share it with third parties for their own marketing. In particular, mobile numbers and text-messaging consent are never sold, rented or shared with third parties or affiliates for marketing purposes. We share information only with the service providers listed below, who process it on our behalf and under contract.
7. Service providers
We use the following providers to run this website and communicate with you:
- Vercel
- Website hosting and delivery.
- HighLevel (GoHighLevel)
- Customer relationship management, and the system that sends our follow-up emails and text messages.
- Resend
- Delivery of the report email and our internal notification.
- Calendly
- Scheduling, if you book a call with us. Calendly collects your details directly under its own privacy policy.
- Google Analytics, which tells us how people find this site and which pages they read. We have turned its advertising features off, so what it collects is not used to build advertising audiences. Google processes it under its own privacy policy.
- Meta
- Advertising measurement, only if the Meta Pixel is active on this site. It is not active at the time of writing. If we enable it we will update this policy first.
We may also disclose information where we are legally required to, or to protect our rights, property or safety, or those of others.
8. Cookies and similar technologies
We use Google Analytics to understand how people find this site and which pages they read. It sets cookies that give your browser an anonymous identifier and record the pages you view. We have turned Google’s advertising features off, so this information is not used to build advertising audiences or to target ads to you. Google shortens IP addresses before storing them, and we never pass it the values you type into our forms.
We use no other analytics or advertising cookies. The site also stores campaign parameters in your browser’s session storage, which is cleared when you close the tab, and your browser may store small conveniences such as whether you have JavaScript enabled.
You can opt out of Google Analytics on every site you visit with Google’s opt-out browser add-on, and you can control cookies through your browser settings.
If we add the Meta Pixel, it will set cookies used by Meta to measure advertising. It is not active at the time of writing. If we enable it we will update this policy first. We would configure it to record only page views and the completion of a report, and we would not pass it the values you type into the form.
9. How long we keep it
We keep the details you submit for as long as we are in contact with you about RecallCrew and for a reasonable period afterwards, so we can answer questions and meet our record-keeping obligations — including the record of your text-messaging consent, which we are required to retain. You can ask us to delete your details at any time using the contact details above.
10. Your choices
- Email. Every marketing email has an unsubscribe link.
- Text messages. Reply STOP to any message.
- Access, correction and deletion. Email us and we will act on your request.
- State privacy rights. Depending on where you live, you may have additional rights over your personal information, including the right to know what we hold, to have it corrected or deleted, and not to be discriminated against for exercising those rights. We honour these requests regardless of where you live. We do not sell personal information or share it for cross-context behavioral advertising.
11. Security
The site is served over HTTPS, and we use reputable providers with their own security programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive information, and never patient information, by email.
12. Children
This website is intended for dental practice owners and their staff. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
13. Changes to this policy
We may update this policy from time to time. If we make a material change we will update the effective date at the top of this page, and where appropriate we will tell you directly.
